Quick Start

To get to grips with the basics of the system, add a user's identity to a device and connect it to a ring group. Next, connect the ring group to the phone number on the Call Flow page. Now you can make and receive calls, and all you have to do is adapt the call flow to your business needs.

There are a few core steps in the set-up of the system once you have purchased all the functions that you need.

  • Get a phone connected to the system so that you can make a call.
  • Create ring groups so that you can direct inbound calls.
  • Create a simple call flow to confirm you can receive a call.
  • Add users into the system.
  • Decide on your call flow strategies.

Byphone Application

(Available on Android, iOS, Windows and MacOS)

The system will support a lot of different kinds of devices, desk phones, soft phones (computer phones), mobiles, browser phones. However, the easiest initial install is to set up a soft phone on your mobile (Android or iOS). It will configure automatically and will allow you to test if the core functionality is working properly. Ensure the byphone application is installed from your preferred app store before proceeding.

There are two methods of provisioning currently which will be covered individually below

Quick Setup

Byphone user logins can be used on initial screen of the app once installed and permissions granted. This method will use the primary identity for that user (oldest identity created) and store those SIP credentials.

  1. Enter your standard byphone username, followed by @BYPHONE, into the username field, and password for that account into the password field as below:
  2. Hit Sign in and you will be authenticated, the app provisioned with standard settings and your primary identity credentials.

You can now make and receive calls via the app. Push notifications are used by default for inbound calls to reduce battery usage and improve usability on iOS devices.


Specific Identity Setup

If you wish to provision a specific identity to the softphone which is not your primary identity, this method can be used.

  1. Login to https://app.byphone.co.uk within your use Account, expand the Identities section and select or create an identity as required.
  2. Once created, the Identity settings will become available when selected, and will show the following buttons at the bottom of the pop-up modal.
  3. Show QR Code will present the QR code on-screen and allow it to be scanned from the app. (Requires QR code to be loaded on a different device other than the mobile being provisioned.)
  4. Save and E-mail QR Code will send an email, containing the QR code image, to the email address stored for the User who owns the Identity that was selected.

Once scanned, the app will automatically provision your SIP credentials for you.


Setup Notes

Currently we recommend the use of Voicemail2Email for mailbox notifications while we continue to work on Message Waiting Indicator functionality.

User presence can be added by creating a Quick Dial contact on the app, setting the Number or SIP address field to the following format: UserExtensionNumber_OrganisationID i.e. 1000_123

Ensure the OrganisationID is correct for your own organisation. Toggle the Busy Lamp Field option, save and you will have visibility of whether that user is on a call or not.

Setting up Softphone on Mobile

Ensure the Zoiper application is installed from your preferred app store before proceeding.

  1. On your Byphone system, go into your user settings and create a new device.
  2. Give it a Friendly label so that it can be easily recognised later.
  3. Chose an Identity within the Search Identities box to associate with this device.
  4. Scroll down and toggle on the Enable Zoiper option.
  5. Press the Save and Activate Auto-Provisioning button, now you should be presented with a QR code.
  6. Open the Zoiper App on your mobile and select Login with a QR code (Android) or select the QR icon in the top left (iOS).

  7. Scan the QR code on screen using your mobile.
  8. Your device should now be registered and ready to make calls.


How to Create a Ring Group

There are two ways within the system to create a ring group, each method is outlined below.

Method 1

  1. Select the Configuration tab in the navigation bar on the left-hand side.
  2. Select the Ring Groups section.
  3. Click on the Add New Ring Group button.
  4. Give the Ring Group a label, ideally a unique name indicating what this group will be used for.
  5. Some default settings are already set for ease of use. You can alter these if you choose. See the table at the bottom of this page for some help on what each option means.
  6. You can also add devices here before saving using the Add Device button, we will cover this in more depth in a later section.
  7. Click the Save button.

Method 2

  1. Select the Call Flow tab in the navigation bar on the left-hand side.
  2. Click the Edit button in the top right-hand corner of the Call Flow window.
  3. Drag a Ring Group node into the centre of the call flow window.
  4. By default the Ring Group will be named “Ring Group”, however, it is a good idea to change this for future reference.
  5. Click on your new Ring Group node.
  6. You should now see 3 new symbols on that Ring Group node. From left to right, these represent: Additional Options , Edit  and Delete 
  7. Click on the middle option to edit this Ring Group.
  8. Alter your new Ring Group's label. (You can change other settings if you see fit).
  9. Click on the Done button.
  10. You will be taken back to the Call Flow window, now click the Save button to write the changes you have made. See Call Flow Strategies for more info on the Call Flow, it is a very useful part of the system.

Well done, you have just created a Ring Group. Now would be a good time to add some devices to that group. If you have not already created any users or devices, you should do so now before proceeding with the next steps.

Adding Identities to a Ring Group

A Ring Group isn't very useful without any members! You may have noticed while creating your group, the option to Add Devices. It’s worth noting that it is a user’s Identity (which is registered via a Device) that gets added to the Ring Group, not a user. This means that a user’s deskphone might be added to the Ring Group, but not their mobile or softphone. You can, of course, add all three to the Ring Group. You just need to add each Identity or Device. We while cover that now, again there are 2 potential methods.

Method 1

  1. Within the Configuration tab, select the Ring Groups section.
  2. Click on the Ring Group tile you would like to edit.
  3. Click on the Add Device button.
  4. Search for the name of the Identity you would like to add and choose from the list of matching names.
  5. If you'd like to add an external phone number, toggle the External option and input your label and phone number.
  6. Click on the Add button and repeat for any additional members.
  7. Remember to Save your changes before moving on.

Method 2

  1. Within the Call Flow tab, click on the Edit button.
  2. Find your Ring Group in the Call Flow window, click on it and click the  option.
  3. Click on the Add Device Button.
  4. Search for the name of the Identity you would like to add and choose from the list of matching names.
  5. If you'd like to add an external phone number, toggle the External option and input your label and phone number.
  6. Click on the Add button and repeat for any additional members.
  7. Click Done when you are happy with your group membership.
  8. You will be taken back to the Call Flow window.
  9. Remember to Save your changes before moving on.

DDI

Otherwise known as a telephone number, this is how other people will be able to contact you on your new Byphone system. By default, we give you a new number to allow you to start receiving calls on your phone system as soon as possible. You can also contact us about porting an existing number you own onto the system.

DDIs are usually related to either a main business function i.e. department for larger organisations or simply the main number that all company calls come in through or a User's direct dial, so that they can be contacted directly, without having to go through anyone else in the company to get there, which is much more convenient.

A DDI is then only useful when used in conjunction with other applications to allow you to answer your calls. These applications could be Ring Groups when looking at the business as a whole, or Follow Me when looking specifically at a user. There may be some other business logic in between before getting there, but as it's the foundation, this is how calls get answered.

Therefore a DDI must route to some other application. In Byphone, this is done on the call flow.

  1. First, go to the Call Flow tab.
  2. You should now see the Call Flow window and any DDIs will be shown inside a green node.
  3. Click on the Edit button to manage your Call Flow. 
  4. You can add other applications here. (Please see their respective pages for more information about them)
  5. To connect your DDI to an application, simply click on it to see it's options. 
  6. Click on the  symbol, and drag the  symbol (for success route) from the DDI to your desired application to link the two together. 
  7. A DDI can only ever point to one place, you can fork it using other applications such as Time Conditions, which will route differently based on the time of day, a Day/Night Toggle, which is a manual toggle to enter Day or Night mode and route accordingly, or IVR to allow a keypad number press to route the call.
  8. You can also label your DDIs according to what they are used for, by clicking the DDI node and then selecting the Edit option.
  9. Don't forget to Save the changes you make to the Call Flow, or they will be lost and you may have to start again.

Now, make a call into your DDI from a mobile, or some other device, and confirm it rings on your softphone. You can answer and hear the audio both ways.

You should also be able to dial out from your softphone as well. Now, it's just a case of building on this simple call flow to extract the functionality you require from the system.
